Description

Non-profit organization dealing with pensions and benefits for thousands of employees throughout British Columbia has a temporary opening for an organized, personable Receptionist. The position starts as soon as possible until they hire permanently.

Duties include answering a busy multi-line switchboard, fielding inquiries from members, greeting visitors, mail, filing, and general clerical assistance.

Offices are located a few blocks east of the Gastown area.

Position PART-TIME ADMIN ASSISTANT - SURREY
Description

Are you an uber-efficient, multi-tasking Administrative Assistant?  Can you work for a team of Project Managers and keep them all happy?  We have a part-time role, starting ASAP on an ongoing basis with a large organization in Surrey.  Hours are 11 am to 3 pm, Monday to Friday. 

This is a very fast-paced environment with multiple projects on the go which, of course, means priorities change constantly and there are deadlines to be met.  Our ideal candidate is familiar with construction terminology and can hit the ground running!


Key Responsibilities:

  • Maintains and keeps track of the status of each project budget / project contract information database; tracks and monitors expenditures
  • Review invoices, handle and process
  • Provides a variety of administrative support to the Project Managers on matters related to program development and resource allocation
  •  Performs word processing duties such as data entry, reports, charts, tables, letters, presentation material from rough draft and/or general instruction using a variety of software applications
  • Gathers and compiles contract and/or financial data as directed; researches, organizes and summarizes information for reports
  • Arranges meetings as directed, prepares and types agenda materials; records, types and distributes minutes of meetings
  • Acts as resource in obtaining and identifying policy, correspondence or reference materials
  • Maintains and organizes appointment calendars
  • Complex filing maintenance

There will be some travel to local project sites as well.  Candidate need to have good Word, Outlook, PowerPoint and Excel skills as well as accurate data entry.  Minimum 3 years’ experience in a fast-paced job  is required and an office background in the construction industry.
